Alumni directory for independent schools

From a fragmented alumni database to a launch-ready alumni community.

Studiously imports the alumni roster you already have, proposes missing professional and education fields for review, and builds a private directory. We target a two-week implementation once data access and scope are confirmed, then support rollout on your school's timeline.

The starting point

Career, education, location, and contact fields are often incomplete, leaving advancement teams to research and broker connections by hand.

See the before state

Common gaps in an independent school alumni database

Long-lived alumni records can be accurate on identity and class year while missing the professional context needed for directory search, outreach, and research. The first step is to measure those gaps rather than assume a universal percentage.

Missing career information

Current employer, title, and work history are frequently among the least complete fields in legacy alumni records.

Stale and bounced emails

Email addresses go stale as alumni change jobs or providers. Large portions of lists bounce before they're ever read.

No LinkedIn connections

LinkedIn URLs may be absent or outdated, removing one useful identifier from the matching and review process.

No searchable directory

Without a live directory, students and alumni have no way to find and connect with each other — even when the data exists.

Missing college data

Post-secondary education can be absent or inconsistently structured, limiting college-affinity outreach and outcomes research.

No location intelligence

Current city and geographic data are outdated or entirely missing, making regional outreach and event planning a guessing game.

And when someone actually wants to connect? It breaks down.

Every student-alumni or alumni-alumni introduction is a manual, multi-step process — relying entirely on your alumni director to hunt through a stale database, cold-ask for permission, and broker one connection at a time.

Student → Alumni connection
"I want to talk to someone who went to Williams" or "someone in finance"
1
Student

Tells their college counselor they're interested in a specific school — or goes directly to the alumni office wanting to speak with someone in a particular industry.

2
College Counselor

Suggests the student speak with an alumnus and reaches out to the alumni office directly to ask them to find someone.

3
Alumni Director

Manually searches Raiser's Edge NXT — or switches to LinkedIn — trying to find a matching alumnus. Most records have no career data at all. 30–60 minutes of manual searching.

4
Alumni Director

Finds a possible match and cold-emails them asking if they're willing to have their contact information shared with a student. Then waits.

5
Alumnus

Responds and says yes.

6
Alumni Director

Manually introduces the student and alumnus over email. Connection finally happens.

6 steps, 5–10 days, one connection made
Entirely dependent on the alumni director's bandwidth
Students who don't ask loudly enough never get connected
Alumni → Alumni connection
"I'd love to connect with fellow alums in my field or city"
Path A — Through the school
1
Alumnus

Reaches out to the alumni office asking to connect with other alumni in their industry or city.

2
Alumni Director

Searches the stale database or LinkedIn to find matching alumni — the same manual hunt as the student path. Repeat every time someone asks.

3
Alumni Director

Asks the target alumnus for permission, waits for a reply, then brokers the introduction manually.

Days of back-and-forth. One introduction made.
Path B — They bypass the school entirely
1
Alumnus

Searches for fellow alumni directly on LinkedIn. Finds them without the school's involvement.

2
Both Alumni

Connect and start a conversation — entirely outside your school's platform.

School gets no credit for the relationship
School gets no insight into the interaction

How Studiously gets your alumni directory ready for a reviewed launch

The process moves from controlled roster import to match review, directory configuration, and an approved delivery path back to your system of record. See the evidence, confidence, conflict, and refresh rules in the alumni data enrichment methodology.

Flexible data import

We connect to your alumni data — however it lives

We integrate directly with Raiser's Edge NXT and Veracross, pulling your alumni records — names, class years, career fields, and contact fields like email, phone, and mailing address — straight into the Studiously pipeline. If your school prefers to start with a CSV export instead, we support that too. No format is off the table.

For direct integrations, the sync is read-first — we preview the field mapping before committing anything. Your data never leaves your control.

We investigate and review the gaps

Studiously queries a professional-data provider using the identifiers already available. When the evidence supports a match, employer, title, work history, LinkedIn URL, education, location, and summary fields can be proposed for review — along with available email, phone, and mailing address; ambiguous records stay flagged rather than being forced into a result. Career fields feed the directory; contact fields are reviewed for your CRM only.

Potential outputs depend on source coverage and match confidence. Reviewers see conflicts and decide which proposed fields to accept — career fields for the directory, contact fields for your CRM.

Directory build

Your alumni directory is launch-ready.

Using the enriched career data, we build a beautiful, searchable alumni directory — accessible only to your school's constituents. Students and alumni can search by name, industry, class year, college, location, or in plain natural language. Every profile shows only non-sensitive information: employer, title, college, location, LinkedIn, and a brief bio. Email addresses, phone numbers, and mailing addresses are never visible — that contact information lives only in your CRM.

Search works in plain language: "engineers in San Francisco who went to MIT" — and returns results instantly.

Rollout planning

We work alongside your team to plan the rollout

Before a single constituent sees the directory, we sit down with your team to get it right. That means reviewing the directory together, drafting constituent communications, and building a launch plan that fits your school's calendar — whether that's the start of a new semester, a key alumni event, or a moment your advancement team chooses. Nothing goes out until you're ready.

We draft the alumni announcement email, the student introduction, and any other constituent communications — your team reviews and approves before anything sends.

Connections

Constituents connect with each other — no manual brokering required

That six-step, five-day process your alumni director used to manage one connection at a time? It's gone. Students and alumni search the directory themselves and reach out directly. Messages land in the recipient's email inbox — no account, no login, just reply. Alumni can connect with fellow alumni the same way, and the school is part of every interaction rather than being bypassed entirely.

Alumni never see the student's email. Students never see the alum's email. Everything routes through Studiously — privately and securely.

Analytics & visibility

Your advancement team sees everything

The advancement and alumni relations team gets a full visualization of their community — how many alumni are in each industry, region, college type, and class year. Plus quantitative and qualitative analytics on the connections being made: who's reaching out, who's responding, and what industries students are most eager to explore.

Data sync

Enriched data returns to your system of record

For Raiser's Edge NXT schools, selected enriched fields can be written through the Blackbaud SKY API. For Veracross schools and CSV-based projects, we deliver a clean enriched file for review and manual import. The Veracross API supplies the alumni roster, but it does not expose the career fields Studiously enriches.

You receive a reviewable record of the enrichment work, with a delivery path matched to your system.

What your school gets: a reviewable, launch-ready directory

A private alumni directory built from the source roster, accepted enrichment results, school-approved access rules, and a delivery plan for the system your team already uses.

A launch-ready alumni directory

Imported alumni records and accepted enrichment fields, searchable and ready to introduce on your community's timeline.

Rich career data

Employer, title, work history, LinkedIn, education, location, and summary fields when the source evidence supports a reviewed match.

Private, frictionless connections

Students reach alumni through the platform. Alumni reply from their inbox. No accounts, no friction, no exposed emails.

Full community analytics

Visualize your alumni community by industry, region, college, and class year — and track every connection being made.

Enriched Raiser's Edge records

Accepted fields can be written to supported RE NXT destinations after administrators confirm permissions and field mappings.

Contact fields for your CRM

Available email, phone, and mailing address are reviewed alongside career fields — synced to your CRM only, never shown in the public directory.

A two-week implementation target

Once data access and scope are confirmed, Studiously targets a launch-ready implementation in about two weeks. Record volume, review, mapping, and school approvals determine the exact timing.

Alumni directory privacy: limited access by design

Studiously limits the information shown, keeps personal contact details out of the directory, restricts access to the school's authorized community, and provides an opt-out. Each school applies its own policies and legal requirements.

Your enrichment work returns to the system your team uses

Connected Raiser's Edge NXT schools can write selected fields — including contact fields like email, phone, and mailing address — through the SKY API. Veracross schools receive an enriched CSV for review and manual import because its API does not expose the career fields or support this write-back path.

Frequently asked questions

Everything schools ask before getting started.

01 How does alumni data enrichment work?

Alumni data enrichment fills in career and contact information missing from an existing roster. Studiously starts with identifying information, matches professional records, and reviews employer, title, work history, LinkedIn URL, education, location, and profile-summary fields, as well as available email, phone, and mailing address, before they are applied. Career fields feed the public directory; contact fields are reviewed for CRM use only. The result is a more useful alumni database and a directory ready to launch.

02 How does Studiously handle alumni privacy?

Studiously is designed to minimize the information exposed. The directory shows limited professional information, keeps personal contact details private, restricts access to the school's authorized community, routes outreach through the platform, and gives alumni an opt-out. Each school remains responsible for applying its own policies and legal requirements.

03 How long does it take to get an alumni directory launch-ready?

Studiously targets a launch-ready implementation in approximately 14 days after data access and scope are confirmed. The exact timing depends on record volume, integration permissions, match review, field mapping, and the school's rollout approvals.

04 Do alumni need to create an account to respond to student outreach?

No — alumni can respond to a student request directly from email. Studiously routes the conversation while keeping personal email addresses hidden from the other participant; no alumnus account or app is required for that reply flow.

05 Does the enriched data go back into Raiser's Edge NXT?

Yes — selected enriched fields can be written back into connected Raiser's Edge NXT records. The supported path uses the Blackbaud SKY API for fields such as employer, title, LinkedIn URL, college, location, and — where enabled — contact fields like email, phone, and mailing address. The exact field mapping and permissions are reviewed during setup.

06 Is Studiously just for student-to-alumni connections?

No — Studiously supports both student-to-alumni and alumni-to-alumni connections through the platform. Any constituent can search the directory and reach out. Alumni can connect with fellow alumni the same way a student connects with an alum — directly, privately, and without the school manually brokering each introduction.
